Marketing & Communications Assistant (Part-Time/Seasonal)

Position Summary

Based in ACG’s Boston office and reporting to the Marketing & Communications Manager, the Marketing & Communications Assistant will be a highly organized, detail oriented, and effective team member who will provide operational and administrative support. This individual will assist in all marketing and communication efforts, specifically those involving national and international conference preparation, business development research, and the creation and editing of newsletters, publications, and other ACG materials. The candidate selected for this part-time, seasonal position will be expected to work from May 2018 through August 2018, with the possibility of continuing work in Fall 2018.

Roles and Responsibilities

Marketing and Communication

  • Assist the Marketing & Communications Manager in maintaining the communication calendar and inventory of marketing materials to provide accurate and up-to-date information
  • Working with the Leadership Transitions team, research various industry job posting sites and compile list of viable business leads and competitive analysis to share with ACG team.
  • Collect email addresses from all search projects, conferences, and other databases and format them for inclusion into Constant Contact.
  • Participate in the editing process of ACG publications.
  • Maintain ACG collateral materials and images, including logos, head shots, and other assets.
  • Update and maintain ACG client lists, spreadsheets, and logos.
  • Develop and update media press list and distribute press releases to the appropriate media sources.
  • Set up and regularly review Google alerts to share with team members, as appropriate.

Administration and Operational Support

  • Oversee ACG’s general email inbox and reply or forward messages to ACG team members accordingly.
  • Prepare and ship materials for conferences, clients, team members, and sponsorships.
  • Create ACG all-team weekly Skype meetings and update attendees as needed.
  • Participate in weekly discussions with marketing team, leadership transitions team, and the entire ACG team.
  • Manage and update ACG’s Staff Directory.
  • Handle all Boston office mail and mail forwarding.
  • Provide additional administrative support to the Leadership Transitions team and others as needed.

Experience and Qualifications

Applicants must have a minimum of a four-year college degree or be currently enrolled in an undergraduate/ graduate program. At least two years of work experience in an administrative and/or marketing and communications role is required. The successful Marketing & Communications Assistant will be a motivated self-starter with the ability to work in a fast-paced environment, prioritize multiple tasks, meet deadlines, and maintain routinized systems in a distributed workforce model. The ideal candidate will be a highly organized and detail oriented individual with excellent writing and editing skills. Technologically savvy, the Marketing & Communications Assistant will adapt easily to new technologies and software systems. A high level of proficiency in Microsoft Office is required. Familiarity with Office 365, Adobe Creative Suite, Constant Contact, and/or WordPress is desired. Preference will be given for candidates with a background in or passion for the arts. Candidates must be willing and able to commute to ACG’s South Boston office, which is conveniently located just a few blocks from South Station. Candidates must be available to work a minimum of 20 to 25 hours per week during regular business hours Monday through Friday.

Compensation

An entry level compensation package will be offered to the successful candidate.
